Terms and Conditions – Club Membership
Overview
These terms and conditions apply to all members of the Long Sutton Golf and Country Club Limited (“the Club”).
The Club may change these Terms and Conditions from time to time, but changes will always be notified to members via the Intelligent Golf portal. The most significant changes will be also placed upon notice boards on the club premises.
Members are respectfully reminded of their obligation to observe all rules and conditions and to make every effort to comply with any reasonable request made by the Managing Director.
All members can use the Club facilities in accordance with their membership category, which is explained below. Please also adhere to the local rules, opening times, using the club with children, practice facilities, club membership cards and more.
Members must also abide by the Rules of the Club. These cover such matters as how the Club is run, the responsibilities of members regarding dress code, use of car park, handicaps, competition rules and etiquette on the course.
By paying a subscription you confirm your agreement to these terms and conditions and all Club rules.
Membership Fees and Payment
You will be informed of the annual membership subscription, according to your membership category, either upon joining or 30 days prior to your renewal date.
The Club reserves the right to adjust the annual subscription rate from time to time. Upon receiving a notification of either renewal or a change in the subscription rate, you will have the option to renew or decline your membership.
Please note that you will not become a member or have the right to play on the course until the appropriate annual subscription has been paid.
All membership categories cover a 12-month period, except for our Summer Membership offer. This offer allows students the same benefits as a 7-day member from June 1st to September 30th. A valid student ID must be provided.
If you fail to pay or arrange to pay your subscription by your renewal date, you will forfeit your membership rights until full payment has been received, or a payment schedule has been agreed upon. Your account will be immediately suspended on the date your subscription is due; this is an automated process that will only be reversed when payment is made. Any membership that has lapsed for 7 days or longer will be considered terminated. Should the individual wish to rejoin the club, a fee of £150 will be applicable in addition to the standard membership fee. This applies to all membership categories. However, in extenuating circumstances, this fee may be adjusted or waived at the discretion of the Managing Director. Such discretion is exercised on a case-by-case basis and is not guaranteed.
The named member of the Club is responsible for paying all appropriate membership subscriptions. At their discretion, they may also pay subscriptions for any other person they have taken responsibility for, such as a spouse or child.
Cancelling Your Membership
All memberships are non-refundable, irrespective of whether the member attends or utilises the club's facilities. Upon joining the club and paying the membership fee, members commit to the full 12-month term.
Your right to suspend your membership
To request a suspension, you must apply in writing to the Administration Manager, due to serious illness or other certified medical reason. In any event, you will need to provide us with suitable medical evidence (such as a doctor’s note) confirming that you are unfit to play golf. If we agree the suspension, we will suspend your membership for a minimum of 1 month and a maximum of 3 months. Suspension of your membership is at our sole discretion. During the suspension period we will make you a Social Member, this will give the ability to use your members card, also ensuring you still receive relevant communications from the club. You will have no playing rights during this period.
Other charges
The Club may provide other services for the convenience of members. These include the provision of lockers. You will need to apply for the use of these facilities, as there are a restricted number available.
There will be an annual charge for the use of these facilities that will be billed at the same time as your annual subscription. There will also be a charge to replace lost keys.
Membership cards
Shortly after you become a member you will be issued with a membership card (applicable to intermediate 19 and above memberships) that can be used for purchases of food and drink. You will be able to place money on the card either online using the Club’s website or by cash, debit or credit card at one of the Club’s tills.
You are responsible for the safekeeping of your card. If it is damaged, lost or stolen please inform the office as soon as possible and you will be issued a replacement.
The Club encourages members to review the transactions on their cards. Details of your account can be accessed via the Intelligent Golf App. At this time, you will be entitled to a discount on bar purchases when using your membership card, you must be 19 and above to qualify for this discount. The Club reserves the right to vary the amount of these discounts from time to time. Please be aware that after your membership expires, you will have one month to use any remaining balance on your members' discount card. After this period, any unused balance will expire. Kindly note that the funds on your card are non-refundable and cannot be transferred to another member’s account. We encourage you to take full advantage of your card’s balance before the expiration date

7 Day Membership
You have full 7-day access to the course. Tee times must be booked in advance of playing, either by using the Club’s online system or by notifying the Pro Shop. You can book up to 14 days in advance. Prior to playing you must check in at the Pro shop. You can bring guests, but they shall pay a green fee equivalent to a Members Guest green fee.
5-Day membership
5-day members are subject to the following terms and conditions in addition to those that apply to full members.
Access to the course is restricted to weekdays Monday to Friday inclusive at any time subject to the Club’s rules on starting times and the tees being reserved for club competitions. If you wish to play at the weekend, then as a 5-day member you need to pay a green fee equivalent to a Members Guest green fee.
Intermediate membership
This category of membership is aimed at aspiring golfers aged between 19 to 29 at the time of joining the Club or renewing their membership. The Club recognises that members in this age group face increasing financial pressure and as a result offer a discounted fee whilst still offering the main benefits of full 7-day membership.
Junior membership
The Club tries to encourage young people to take up golf by providing golf lessons, development sessions and reduced membership rates to those juniors aged 18 or under. All Junior members are expected to acquaint themselves with the etiquette and Rules of Golf as is also expected of adult members.
Guests
As a member you may invite a guest to play a round of golf at the Club. Your membership enables your guest(s) to enjoy a discounted members guest green fee. All guests must sign in at the Pro shop and provide their name.
You must always accompany the guest on the golf course and ensure that the guest is aware of and complies with the Club’s Rules. You may invite up to 3 guests on any one day.
Booking Tee Times
The Club operates an online tee booking system, which we encourage all members to use. You can book your tee times up to 14 days in advance. The Club reserves the right to adjust the rules surrounding advanced tee time bookings.
Members are required to book their tee times either through the online system or by asking the Golf Professional or a Club staff member to assist with the booking. The purpose of the booking system is to provide convenience and help us manage the course efficiently. When making a booking, please ensure you enter the names of all players in your group.
Before starting your round, all players, including guests, must check in with the Golf Professional, regardless of whether they have a pre-booked tee time. Guest or green fees must be paid prior to the round starting.
If you are unable to play or if the number of players in your group changes, please update your booking on the online system as soon as possible. Alternatively, inform the Pro Shop directly. We understand that members may need to cancel at short notice due to weather or unforeseen circumstances.
The Club will monitor instances of frequent no-shows or failure to amend bookings, as this can impact other members’ ability to play and result in potential lost revenue for the Club.
Certain competitions are restricted by handicap category or timing, such as summer/winter knockouts or mixed competitions. Details are available on the Club's website. Members with full 7-day access can typically enter most competitions, though partners with restricted memberships may not be eligible to participate in weekend competitions. In such cases, they can pay a green fee. Please check for any competition restrictions before entering or booking a tee time.
Starting Times
The Club may impose restrictions on starting times or playing formats to optimize the use of the course, particularly during busy weekend periods. The current starting times are published on the Club's website.
Disciplinary Procedures
The Club reserves the right to expel any member who intentionally neglects or refuses to comply with the Club’s rules. Expulsion decisions are made by the Club management team. Members who are expelled, suspended, or disciplined under these procedures will have no recourse against the Club and will forfeit all rights to the Club's facilities and property.
Liability
The Club is not responsible for any damage or loss to your property or the property of guests on the premises, including the car park, lockers, or golf course, unless caused by the Club's gross negligence or failure to take reasonable care.
The Club also does not accept liability for injury or death of any member, guest, or child on the premises, except in cases of gross negligence or failure to take reasonable care. While the Club carries insurance for personal injury occurring on the golf course, it does not cover damage or loss to property or equipment. We recommend that all members arrange their own insurance coverage.
Use of Personal Data
The Club is committed to protecting your personal data in accordance with the UK General Data Protection Regulation.
By becoming a member, you consent to the Club collecting, storing, and processing your personal information (such as your name, contact details, date of birth, and relevant health or emergency contact information) for legitimate purposes relating to the administration of your membership, communication of club news and events, tee time and competition bookings and where required, to meet legal or regulatory obligations.
We will not share your information with third parties without your consent, unless required by law or for essential services (such as England Golf affiliation or union fee registration). Your data is stored securely and retained only for as long as necessary.
You have the right to access, correct, or request deletion of your personal data at any time. For full details of how we manage your data and your rights, please refer to our Privacy Policy, available from the Club office or on request by email.
Appendix B
Code of Conduct
At Long Sutton Golf Club, we are committed to providing a warm, welcoming environment that is free of discrimination, harassment and intimidation for members, guests, visitors and employees.
Members and visitors are expected to always behave with courtesy and respect, promoting the core values of the Club. By attending Long Sutton Golf Club, individuals agree to maintain a high standard of behaviour and give their consent to be bound by the standards set within this Code of Conduct, which as part of the byelaws is displayed at the Club and on the Club website.
This Code of Conduct applies throughout the golf course, club premises and whilst representing the club at away events. Members and visitors are expected to:
• Create and maintain an environment free of intimidation and harassment, towards all members of staff.
• Create an environment where everyone has an equal opportunity to participate.
• Communicate with others in a manner that is respectful and caring.
• Demonstrate proper personal behaviour and conduct at all times.
• Promote the positive aspects of golf when representing yourself or the club (e.g., fair play, honesty, and etiquette).
• Treat members of committees, organisers, representatives, and all club staff with due respect.
• Observe instructions or restrictions required by club staff.
• Respect the golf course and the property of both the golf club and other members.
• Ensure that ‘banter’ remains so and does not intimidate or offend others.
• Avoid offensive language or telling sexist or racist jokes which may be over-heard in the clubhouse and upset other members or visitors.
On the course:
All golfers must: (golfers includes caddies)
• Adhere to the R&A rules and any local Club rules that may be in place.
• Avoid slow play, apply Ready Golf principles and allow other golfers to play through as appropriate, inviting the following group through when searching for lost balls or when you have lost ground with the group in front.
• Follow established golf etiquette respecting the course, such as repairing pitch marks, replacing divots, and raking bunkers.
• Conduct themselves in a sporting manner and demonstrate fair play both on and off the course.
• Respect employees, officials, and fellow players at all times, both on and off the course.
• Play safely and do not display or indulge in aggressive or reckless behaviour.
• Ensure priority is given at all times to greenkeepers and contractors working on the course.
• Adhere to the dress code appropriate to the course, (Note; the dress code applies to all practice areas except the driving range).
• Switch mobile phones to silent when on the golf course.
In and around the Clubhouse:
Members and visitors are reminded that:
• Consumption of excessive quantities of alcohol is not permitted. Please do not be offended if service is refused.
• Smoking or the use of e-cigarettes is not permitted within any of the Club buildings or on the terrace linked to the dining / conference area.
• Consideration towards others is required when using your mobile phone. Phones must not be used on loudspeaker when in the Clubhouse, Calls should be made and taken in the foyer or outside away from others where possible. Examples of unacceptable behaviour (including but not limited to):
• Any form of verbal, physical, sexual, and emotional abuse including harassment or bullying
• Verbal abuse or harassment towards all staff and other workers at the club
• Criticism of staff when they are playing on the course.
• Offensive and insulting written/email communications to staff, workers, committee representatives or other members.
• Any form of discrimination on the grounds of age, gender reassignment, marital status, race, colour, nationality, ethnicity, disability, sexual orientation, religion, or beliefs
• Illegal behaviour such as smoking indoors or consuming illegal or performance enhancing drugs or stimulants.
• Excessive foul language and loud swearing, in the clubhouse
• Posting hurtful comments or personal attacks on social networking sites
• Drunkenness which leads to offensive behaviour
• Any form of cheating, which may include the deliberate manipulation of handicaps.
Disciplinary Process for this Code of Conduct:
• Any person engaging in any behaviour within the clubhouse, on the course or via social media, which is considered unacceptable or detrimental to the game of golf and/or to the reputation of Long Sutton Golf Club should be reported to the Administration Manager or Club Directors.
• Complaints may be made by any person including a competitor, member, visiting guests, other associated golf club members, members of the public, employees and those working on behalf of the club.
• Complaints must be made in the first instance to Long Sutton Golf Club Management within 5 working days of the matter occurring. These must be then followed up in writing within 10 working days of the matter occurring.
• Where any complaint or protest is of a serious nature the offending party may be temporarily excluded from the Course, the Clubhouse or both. This decision may only be taken by the Club’s Managing Director.
• The management of Long Sutton Golf Club will be responsible for implementing the disciplinary procedure in a fair and impartial manner. Please refer to the Club’s Disciplinary Procedures Document, available on the club website.
Had most enjoyable experience yesterday. Greens are fantastic, even if a little tricky. Course very well presented. Felt very safe re Covid and enjoyed an excellent light lunch on new terrace. Many thanks too all who helped us enjoy our visit. We shall return.
